Subject: Tuition Remission

It is the policy of the University to provide tuition benefits for full-time members of the faculty and staff and benefits-eligible part-time staff. The purpose is to enable the employee, his/her spouse or eligible domestic partner, and dependent children to pursue educational programs at the University. The student must complete an application for admission and be admitted to the University before Human Resources will grant a tuition waiver. Tuition benefits are available at the beginning of the next semester/quarter after hire.

9.01 Eligibility

a. Full-time employees who work at least 38.75 hours per week and part-time employees hired before August 1, 1996 who regularly work at least 23.25 hours per week:

1. Faculty - Subject to rules established for academic staff members, full tuition remission is granted to a maximum of 9 credit hours in Fall and in Spring semesters, and 6 credit hours in Summer for both undergraduate and graduate study. On the quarter system, tuition remission is granted to a maximum of 7.2 credit hours each quarter.

2. Staff - Subject to rules regarding class scheduling, full tuition remission is granted to a maximum of 9 credit hours in Fall and in Spring semesters, and 6 credit hours in Summer for both undergraduate and graduate study. On the quarter system, tuition remission is granted to a maximum of 7.2 credit hours each quarter.

3. Dependent Child, Spouse or Eligible Domestic Partner - A faculty or staff member may also apply for a tuition benefit for these dependents. The student may enroll in either a full-time or part-time program. A dependent child is one who is defined as a dependent for federal income tax purposes.

a. Undergraduate study - the student is eligible for a full tuition waiver.

b. Graduate study - those spouses and other dependents enrolled as degree seekers in a graduate program that begins no later than Spring Term 1997 may continue to degree completion with a full tuition waiver. Students beginning graduate degrees after Spring Term 1997 will be eligible for a 50% waiver.

4. Retiree - A retiree eligible for continued tuition benefits is defined as an employee who has retired from a regular full-time or benefits- eligible part-time position at IIT, attained age 55, and been employed at IIT for at least five years. A retiree is eligible for a full tuition waiver.

b. Part-time employees hired, or full-time employees reducing hours to part-time status, on or after August 1, 1996 will receive a pro-rated share of the tuition remission benefit accorded to a full-time employee or his/her dependent.

1. Regularly works between 23.25 and 31.00 hours/week receives 50% of the full-time benefit.

2. Regularly works more than 31.00, but less than 38.75 hours/week receives 75% of the full time benefit.

9.02 Conditions

a. An employee will normally register for evening classes as a part-time student but may take day classes if authorized by the Department Head, Dean or Director, and, if applicable, the appropriate Vice President. Time taken off during regular work hours will be rescheduled to meet department needs.

b. The employee, spouse or other dependent is accorded the same consideration and held to the same expectations which apply to other IIT students regarding qualifications for admission to a degree program, prerequisites for registration in a specific course, and requirements for a degree.

c. Enrollment is restricted to courses published in the current "Schedule of Classes" with a fixed number of class and credit hours for lecture or lab and variable or fixed credit hour courses for special projects or research and thesis.

d. No employee, spouse or other dependent may be registered for a graduate course which is filled and where such registration would exclude from the course a tuition-paying student.

e. Financial aid for which the student qualifies may reduce tuition benefits under this policy.

f. Tuition remission applications may be secured from Human Resources. The application must be completed, signed, authorized by the department head, and turned in at the time of registration, but no later than 21 days after the date classes begin. Failure to do so will make the employee ineligible for tuition remission for that term. After registration, the application should be submitted to the Student Services Center on Main Campus, the Bursar’s Office at the Downtown Campus or to the Educational Services Coordinator at the Rice Campus.

g. Tuition benefits will be pro-rated as follows should a faculty or staff member terminate employment before the end of the semester/quarter.

1. If the separation date is on or before that term’s midpoint, the tuition benefit is canceled and the individual is billed by the Bursar’s Office.

2. If the separation date falls after the midpoint but before the end of the term, one-half of the tuition benefit is canceled and the balance is billed by the Bursar’s Office.

h. Upon retirement or death of a faculty or staff member, tuition benefits for a spouse or eligible domestic partner may continue until graduation. Tuition benefits for a dependent child continue until graduation or until the dependent’s 23rd birthday, whichever occurs first.
