Subject: Sick Leave

Sick leave is an absence from work due to personal illness or injury.

The sick-day allowance will accrue on the first of each month. An eligible employee must be employed prior to the 16th of the month to begin accrual of sick days on the first day of the month following the employment date.

1.01 Full-Time Employees

A full-time employee accrues sick days at a rate of 6.46 hours per month to a maximum of 142 days.

1.02 Part-Time Employees

A part-time employee regularly scheduled at least 23.25 hours per week accrues pro-rated sick days based on the relationship of hours worked each week to a full- time schedule. The maximum accrual is also pro-rated. There is no accrual entitlement for employees who regularly work less than 23.25 hours per week.

A representative table for part-time employees is as follows:

Average Hours/
Work Week
Hours accrued
Monthly
Maximum
Hourly Accrual
23.25 3.87 660
25 4.17 710
30 5 852

1.03 Union Employees

Union employees are governed by the applicable provisions of the appropriate labor agreement.

1.04 Conditions

a. Should an employee’s excused sick days exceed his/her accumulation, a deduction for the days absent will be made in the following paycheck.

b.  An employee taken ill during working hours should report to the supervisor. An employee may not leave work, except in an emergency, without appropriate authorization.

c.  An employee has the responsibility to personally notify his/her supervisor of his/her illness and the nature of this illness by no later than one-half hour after the start of the scheduled work day.

d.  An employee must call his/her supervisor every day he/she is absent unless excused by the supervisor for a specific duration.

e.  An employee absent for more than three (3) consecutive work days must apply for the university’s family and medical leave. See Policy C. 6.00. This involves immediate completion of forms by the employee and by the health care provider to certify the disability. These forms are available in Human Resources.

f.  The supervisor should contact Human Resources as soon as it is known that an absence will exceed three (3) consecutive work days. For planned medical absences, Human Resources should be notified in advance of the absence.

g.  Any employee absent due to illness or injury for three (3) or more consecutive work days must provide an attending physician’s statement certifying release from medical care and ability to return to regular duties. A release is required whenever hospitalization occurs, regardless of the time period involved. The medical statement must be presented to the supervisor before beginning work.

1.05 The university reserves the right to evaluate the causes for absence and to deny compensation when circumstances warrant the denial.

1.06 An employee who falsifies information and uses sick leave for other than a personal illness will be subject to disciplinary action.
