Subject: Vacation 

It is the policy of the university to provide vacations for non-academic staff members in accordance with the plans described below. 
 

3.01 Clerical and Technical Employees 

A non-exempt (hourly) employee earns 10 days of vacation each year during the first five years of employment. At the beginning of the sixth year of employment, the employee starts to earn 15 days annually. An additional day of vacation will be added to the employee's annual accrual during the 11th through 15th years of employment, to a maximum accrual of 20 days per year after 15 years of service.

3.02 Professional and Administrative Employees 

An exempt (salaried) employee earns 15 days of vacation each year during the first five years of employment. An additional day of vacation will be added to the employee's annual accrual during the 6th through 10th years of employment to a maximum accrual of 20 days per year after 10 years of service.
 

3.03 Administrative Officers 

An employee who is classified as an Administrative Officer earns 24 days of vacation each year at the rate of 2 days per month.

3.04 Part-Time Employees 

An employee regularly scheduled at least 23.25 hours per week earns pro-rated vacation based on the relationship of hours worked each week to a full-time schedule. The employee regularly working less than 23.25 hours per week earns no vacation. 

3.05 Union Employees 

Union employees are governed by the applicable provisions of the appropriate labor agreement.

3.06 Method of Accrual

3.05 Conditions 

a. The monthly vacation allowance will accrue on the first of each month. A staff member must be employed prior to the 16th of any month to begin accruing on the 1st of the month following the employment date.

b. No vacation credit shall accrue for any calendar month during which the employee is in an out-of-pay status for more than half of the employee's scheduled working hours during the month.

c. Vacation provides an employee with time away from the responsibilities and duties of the job. It is intended to be a period of refreshment and renewal. Accordingly, additional pay in lieu of vacation is not permitted.

d. The dates selected for vacation must be approved by the supervisor so that a vacation schedule which meets the needs of the university can be established. Vacation days may be taken only up to the number of full days earned.

e. Maximum Vacation Accrual - An employee may not save more than one and one half times the annual vacation accrual. This maximum accrual is audited monthly when additional earned vacation is credited to employee accounts. If the maximum amount of vacation is already banked, the new month's accrual is not added and this amount is forfeited.

f. Upon termination of employment, an employee will receive salary covering any accrued but unused vacation up to the one and one half year limit described in "e" above. This is issued as a lump sum payment in the final paycheck after all timesheets through the date of separation have been received in Payroll. An employee whose termination occurs after the 15th of the month will receive full credit for that month. An employee whose termination occurs before the 16th of any month will receive no credit for that month.
