Subject: Short-Term Absences

5.01 It is the policy of IIT to permit employees to be absent from work on a short-term basis (3 or less days) under certain circumstances. Full-time and part-time employees regularly working a minimum of 23.25 hours per week may receive compensation for specific authorized short-term absences.1 Wherever possible it will be expected that these absences are requested in writing to the supervisor as far in advance as possible. Approval may be contingent upon departmental staffing needs. Please refer to Policies C. 6.00 and C. 7.00 for information on absences of more than 3 days. 
 
5.02 An authorized short-term absence shall include any of the following: 
 
a. Sickness or injury resulting in temporary disability of the employee for 3 or less days. Pay may be continued to the maximum accrued sick time available.
 
b. Sickness or injury resulting in temporary disability of 3 or less days of a member of the employee's immediate family. Pay may be continued if the employee chooses to use an in-pay-status day such as vacation, personal business or personal holiday.
 
c. Bereavement leave if absent from scheduled work on any of the days between date of death and date of burial (inclusive) as follows
 
1. Up to three days with pay upon the death of a member of the immediate family including mother, father, husband, wife, son, daughter, sister, or brother.2
 
2. One day off with pay to attend the funeral of a grandmother, grandfather, mother-in-law, father-in-law, aunt or uncle.
 
3. To qualify for bereavement pay, the employee may be required to provide substantiating information. The timesheet for these absences should bear code 100 and must have a written notation of the relationship of the deceased.
 
At the employee's request, approved time off in excess of three (3) days will reduce vacation, personal business days and/or the personal floating holiday, or it may be taken without pay with the approval of the supervisor.
 
d. Personal Business - Up to two days (15.50 hours) are available each calendar year if hired before January 1 of that year. See Policy C. 4.00.
 
e. Jury duty or testifying as a witness in a judicial proceeding. Pay during such time will be the difference between the amount received for the performance of such duty and the employee's regular salary or wage during the period. The employee must present evidence of jury service and the associated check stub to the Payroll department immediately upon return to work. The subsequent paycheck will be negatively adjusted by the appropriate dollar recovery amount.
 
f. Observances required by the employee's religion. Pay may be continued for such absence through use of vacation, personal business days and/or the personal floating holiday.
 
g. Voluntary participation in community projects. Employees are encouraged to take an active interest in community affairs. Time spent in such activities should be outside of the employee's working hours and will not be considered hours worked for pay purposes. Participation in community projects during working hours is an exception to the policy and may be approved by the individual's Vice President.
