Procurement Services is the only function at Illinois Tech that can add a new vendor into the University's Master Vendor Database, the list of vetted and approved vendors that Illinois Tech can do business with. Procurement Services strictly controls the process of adding new vendors, the key objectives being:
- To slow the proliferation of vendors added to our financial system
- Enforce the appropriate and policy-compliant procure-to-pay sequence
- Improve vendor performance and reduce costs
Please note that as of July 2019, as part of Illinois Tech's Buy It eProcurement implementation, we are rolling out a new, simplified, and more automated online supplier request and registration process. To become an approved Illinois Tech supplier:
- Illinois Tech departmental end users must request the specific vendor to be added as a new supplier by completing the Request Supplier form online in Buy It eMarketplace, which is then submitted in the system to Procurement Services for review
- Procurement Services will then send the vendor a Unimarket/Buy It supplier registration link via email coming from support@unimarket.com, where the vendor can complete the registration process online to provide important information such as email address for receiving Purchase Orders, Remit To address, Tax ID and company information, etc.
- If the vendor will be coming onsite to Illinois Tech campus to perform any part of the work, the vendor also MUST upload a copy of the Certificate of Insurance including the specific language requested Illinois Tech General Counsel to their Unimarket/Buy It vendor registration profile.
Procurement Services will review the application and documents submitted by the vendor and evaluate the benefit of adding the new vendor to Illinois Tech's Master Vendor Database. Procurement Services makes the final decision to accept or reject the addition of a vendor to the database.
Conflict of Interest
If the information supplied by the vendor indicates ownership by a current Illinois Tech employee or an Illinois Tech employee is a member of the proposed vendor’s senior management team, the decision to add the vendor will be dependent on the acceptability of the relationship as determined following Policy P.1. Conflict of Interest and Conflict of Commitment Policy or P.2 Investigator Conflict of Interest and Conflict of Commitment Policy.
Approved Vendor Establishment
Procurement Services will enter a vendor into the Master Vendor Database only upon receipt of all vendor application materials AND an approved requisition for goods and/or services for that vendor. Vendor applications are held by Procurement Services for one year and if no requisition is submitted for purchases from that vendor during the retention period, the applications will be discarded.
The vendor MUST go through the appropriate vendor registration process and get created as an approved vendor in the University's financial system before Illinois Tech can issue any Purchase Orders to the vendor and process any invoice for payment.
Illinois Tech cannot conduct business with any vendor that is debarred or suspended from selling to the federal government.
Buy It eProcurement Supplier Registration
As of February 26, 2019, we have officially started our supplier outreach and registration process for our new Buy It Unimarket eProcurement system. Current active vendors of Illinois Tech will first receive an email notification regarding the eProcurement supplier registration process, which will be followed by another, separate email in the following days/weeks containing information on how to register and the registration link.
In order to continue to participate with Illinois Tech, the vendor simply need to register in the Buy It system.
Registration is free and will provide you with the ability to:
- Receive orders from your customers electronically by email
- Create invoices electronically and view the status of all invoices
- Manage and share your company details electronically
- View and respond to Electronic Bid Requests
